VehicleDataSheet.com (“we”, “our”, “us”) provides personalised Vehicle Data Sheets based on a vehicle’s VIN. We take your privacy seriously and process only the data required to fulfil your order, deliver your report, provide support and improve our service.

We operate an online platform where customers can purchase customised digital vehicle reports in PDF format.

2. What personal data we collect

We only collect the information necessary to process your order and deliver your personalised report. This includes:

Name
Email address
Selected report language
Customer country
Vehicle VIN
Order details and payment status

We may also collect limited technical information such as IP address, browser user-agent, device information and website usage data for security, fraud prevention, order processing and website functionality.

We do not request or store customer postal addresses, shipping addresses or full billing addresses.

3. How we use submitted VINs and vehicle information

When you submit a VIN, we use it to generate your personalised Vehicle Data Sheet and to provide customer support related to your order.

We may also use submitted VINs, generated reports and related vehicle information for internal archiving, quality control, product improvement, technical testing, development of new products, statistical analysis, training materials, demonstrations, sample reports and marketing examples, the full VIN number itself will never be intentionally displayed and/or published towards third parties.

If vehicle data or generated reports are used for sample reports, demonstrations, training materials or marketing examples, we may modify, redact, anonymise, abbreviate or reformat the content. Customer names, email addresses, payment details, order details and other directly identifying customer information will not be intentionally displayed in public sample materials.

A VIN may, in some circumstances, be linked to a vehicle or vehicle history. For that reason, we handle VINs and related report data carefully and only use them for the purposes described in this Privacy Policy and our Terms & Conditions.

4. Legal basis for processing

We process personal data on the following legal bases where applicable:

Performance of a contract: to process your order, generate your report and deliver the PDF.

10. How long we retain your data

Orders and payment records: retained for as long as legally required for accounting, tax, compliance and administrative purposes.

Name, email address, country and language selection: retained as part of your order record and support history, unless deletion is requested and we are not legally required to retain it.

VIN information and generated reports: retained for order fulfilment, support history, quality control, fraud prevention, product improvement, internal archiving and the creation of modified or anonymised sample materials as described in this Privacy Policy and our Terms & Conditions.
